Moving from Excel to a CMMS: A Step-by-Step Guide

A plant that has kept maintenance records in Excel for years (see What Is a CMMS?) can move to a CMMS in a few weeks if the steps are done in the right order. This post walks through the concrete steps for migrating your existing Excel data into a CMMS.

Before you start: get clarity on your current data

Usually there isn’t a single “master spreadsheet” — different people hold different files (a machine list in one file, a preventive maintenance plan in another, a spare-parts count in yet another). The first step isn’t to merge them into one place — it’s deciding which data is current and correct. If two files conflict, settle which one is authoritative before you migrate.

Step 1: Build your machine and equipment list

For every machine/piece of equipment that receives maintenance, you need at minimum: the equipment name, its workshop/location, brand/model if relevant, and — where it matters for maintenance — its operating-hour or production counter. The more complete this list is, the faster the following steps go.

Step 2: Standardize your maintenance definitions

Your preventive maintenance plans are probably free text (“check oil monthly,” for example). Moving them into a CMMS requires three decisions:

  • Is the trigger a date or a counter? (see our preventive maintenance checklist post for a deeper look)
  • What are the checklist items? (your free-form notes in Excel need to become discrete checklist items)
  • Which maintenance definition applies to which equipment? (matched against the list from Step 1)

Step 3: Prepare your spare-parts and stock data

If you already have a stock count (part name, current quantity, critical level), it can be imported directly. If not, doing a quick physical count at the time of migration prevents “the system says it’s there but the shelf is empty” inconsistencies later.

Step 4: Import the data

A modern CMMS should let you bulk-import machines, maintenance definitions and stock cards via an Excel template — you shouldn’t have to type everything in by hand. A good import tool should also report faulty/incomplete rows separately and let you undo the import if needed.

Step 5: Train your team, run in parallel for a while

The first 1-2 weeks can be a transition period, especially for technicians in the field. Showing field-facing features like mobile/QR access first helps the team feel “this makes my job easier” rather than “this is extra work.”
